Team workflow

A practical handoff playbook for WhatsApp support teams

A good handoff transfers responsibility, context, and a clear next action. It should feel continuous to the customer even when the operator changes.

Support operators transferring a customer conversation with shared context

Define when a handoff is worth the disruption

Transfer a conversation when a different operator has the required language, product knowledge, authority, or shift availability. Avoid unnecessary transfers caused by unclear ownership or an operator trying to reduce their visible queue.

The current owner remains responsible until the new owner accepts the conversation. This single rule prevents work from disappearing between teams.

Send a compact handoff packet

Include five pieces of context
  • The customer's current goal or problem.
  • Actions already completed and their outcome.
  • Any promise, deadline, or expected reply.
  • The reason the conversation is moving.
  • The exact next action for the receiving operator.

The conversation history should remain available, but the receiving operator should not need to reread every message before understanding the situation.

Make acceptance visible

  1. Initiate the handoffSelect the destination team or operator and add the context packet.
  2. Notify the new ownerPlace the conversation in a visible incoming queue.
  3. Accept responsibilityThe new operator confirms ownership and the next action.
  4. Close the transferThe previous owner leaves the active workflow once acceptance is recorded.

Use the same structure for shift changes

At the end of a shift, prioritize conversations with promised follow-up, active customer replies, escalations, or language requirements. Routine closed work should not crowd the handoff list.

Managers can use a short overlap window to review unaccepted transfers and rebalance workload before the previous shift leaves.

Measure handoff quality, not only speed

Track acceptance time, repeated transfers, reopened issues, missed commitments, and conversations with no current owner. These signals reveal whether the operating rules are working.

GoCloud keeps conversation ownership and context visible in a shared workspace so teams can complete handoffs without separate devices or private message chains.
